How we handle
your data.

What the contact form collects, why we ask for it, where it is stored, how long we keep it and how to have it deleted.

Who is responsible

This notice explains how Shibagency handles the personal data collected through the site at www.shibagency.com. It follows Turkish Personal Data Protection Law no. 6698 (KVKK), which applies to us as a studio based in Istanbul.

You can reach us at hello@shibagency.com. Every request described in this notice goes to the same address.

What we collect

The contact form is the only place on the site that collects personal data. When you submit it, we record:

  • Your name
  • Company name (optional)
  • Your email address
  • Your phone number (when your preferred channel is not email)
  • Your preferred contact channel and the services you are interested in
  • The content of your message
  • The language you wrote in and whether you were on desktop or mobile
  • The first page you opened on the site during this visit, the domain of the site that sent you here (not its full address) and any campaign (UTM) tags

How long you took to fill the form and the hidden anti-spam field are checked at submission time only and never stored. Form content is not written to server logs.

Why we process it, and on what basis

We use your data only to reply to you, understand what you need, prepare a proposal where it goes that far, and see which pages and channels bring enquiries so we can improve the site. It is never added to a marketing list, sold to third parties, or used for profiling or automated decision-making.

The legal grounds are article 5(2)(c) of the KVKK — processing directly related to entering into or performing a contract — and article 5(2)(f), our legitimate interest in answering enquiries and knowing where they come from.

Where it is stored and shared

Submissions are stored in a database on servers operated by our hosting provider, Hostinger. Depending on the server region, your data may be held outside Türkiye.

Beyond that we do not share your data with third parties. It is disclosed only where a public authority requests it under a legal power, and only to the extent requested.

If you choose WhatsApp as your channel we will write to you there, and that conversation is governed by WhatsApp’s own terms. The WhatsApp and email links offered when the form cannot be delivered are entirely yours to use or ignore.

How long we keep it

Submissions are kept for one year from the day you send them and deleted at the end of that period. If your enquiry becomes a project, the data may be kept for as long as that working relationship and the applicable law require.

If you ask us to delete it sooner, we will. Deletion is done by hand; there is no automated purge job.

Your rights

Under article 11 of the KVKK you may ask us to:

  • Confirm whether we process your personal data, and tell you about it if we do
  • Explain why we process it and whether it is used for that purpose
  • Name the third parties in Türkiye or abroad it has been transferred to
  • Correct it where it is incomplete or wrong
  • Erase or destroy it once the conditions for that are met
  • Notify any third parties it was shared with of a correction or erasure
  • Object to a result reached against you purely by automated analysis
  • Claim compensation if unlawful processing has caused you damage

Cookies and browser storage

The site sets no advertising or analytics cookies. There is no third-party measurement script, pixel or tracker following what visitors do.

What you type into the contact form stays in your own browser (sessionStorage) until you send it. Closing the tab clears it, and it does not reach us until you submit.

The first page you opened on the site, the domain of the site that sent you and any campaign tags are kept in the same place, only while that tab is open. If you never send the form, they never reach us.

A session cookie is used when someone signs in to the admin panel. It concerns the site’s administrator only and is never set for visitors.

Send any request about your rights to hello@shibagency.com. We answer as quickly as the request allows, and within thirty days at the latest.

We may update this notice from time to time. The date of the version in force is shown at the top of this page.
